Job Description
Job Purpose
The Events Associate will support the planning, coordination, and execution of all dissemination-related events under the next phase of the Platform for Development Research and Communication (PDRC). This includes the National Launch Event, Regional Panel Discussions, webinars, and other outreach activities aimed at amplifying the visibility and impact of the six Human Development volumes.
The role is operational and execution-focused, requiring strong logistical abilities, attention to detail, coordination skills, and the ability to support multiple events within the project’s timeline (November 2025 – December 2026).
Job Outline
The Platform for Development of Research and Communication (PDRC) is a flagship initiative of the Bharti Institute of Public Policy (BIPP), aimed at advancing high-quality, evidence-based research on Human Development and disseminating it widely among policymakers, academics, industry leaders, and civil society.
The current dissemination phase focuses on promoting six major volumes on Human Development through a structured outreach plan that includes Regional Panel Discussions, Webinars, Social Media Campaigns, Case Writing Workshops, and the development of Policy Briefs, Case Studies, and Video Documentaries.
The Events Associate will support the Event Manager and Project Manager in coordinating these activities by handling logistics, documentation, vendor communication, and event operations to ensure all tasks are carried out efficiently and professionally.
The successful candidate will carry out the following activities:
- Event Coordination & On-Ground Support: Assist in planning and executing all dissemination events, including the National Launch, Regional Panels, and webinars. Support preparation of event plans, checklists, and schedules. Provide on-ground assistance during events—registration, seating coordination, hospitality, distribution of materials, and backstage support—to ensure seamless execution.
- Logistics & Vendor Support: Coordinate logistics such as venue arrangements, travel and accommodation for speakers, AV requirements, printing and dispatch of materials, and event supplies. Assist the Event Manager in liaising with vendors, confirming bookings, tracking deliveries, and ensuring all logistical elements are set up correctly and on time.
- Stakeholder & Internal Coordination: Support communication with speakers, participants, institutional partners, and internal ISB teams. Send reminders, follow-up messages, confirmations, and event updates as required. Ensure all stakeholders receive relevant information (agenda, joining links, venue details, etc.) in a timely manner.
- Coordination with Communications & Design Team: Work with the Communications & Design Cluster to support the preparation and delivery of event branding materials, nameplates, banners, posters, info cards, and digital assets. Ensure all physical materials are printed, packed, and transported accurately and on schedule.
- Administrative, Documentation & Reporting Support: Maintain checklists, event trackers, participant lists, vendor bills, and logistical documents. Assist in preparing event briefs, run-of-show drafts, meeting notes, and post-event reports. Ensure timely documentation of all event-related activities and expenditures.
Job Specifications
Knowledge / Education:
- Bachelor’s degree in Event Management, Communications, Public Policy, Management, or related field.
- Certification in event or project support roles is desirable.
Specific Skills:
- Strong organisational and coordination skills.
- Good written and verbal communication skills.
- Ability to multitask and work in fast-paced environments.
- Proficiency in MS Office Suite; familiarity with event tools is a plus.
- Strong attention to detail and willingness to take initiative.
Desirable Experience:
- At least 2 years of relevant professional experience. Candidates with significantly higher experience are strongly encouraged to apply.
- Experience in logistics coordination or programme support roles is preferred.
- Comfort with AI tools for role-specific tasks will be advantageous.
